Capture - Automated

Automated capture happens on the server and does not involve the users and DocuNECT can monitor and process the following different sources:

File-Shares and Secure FTP

DocuSign

Central Email Inbox

Multi-Function Devices/Network Scanners

Web Services (Business Application Integration)

File-Shares and Secure FTP

File-shares still constitute a large storage repository. DocuNECT can perform the following functions for both file-shares and secure FTPs:

Recurse the Entire Folder Structure

Identify Duplicates

Logic for Latest Version Identification

Filter Document Formats, or Paths

Assign Index Values from Filename/Folder Paths and/or Index Text Files

DocuSign Integration

DocuSign is a powerful electronic signature platform that has revolutionized document processes. Removing the print/sign/return paradigm has created a foundation for companies to kick-start their digital transformation strategies. DocuSign has developed technologies such as PowerForms and Envelope Templates to provide powerful mechanisms for collecting additional data as part of the signature process workflow.

DocuSign is not a permanent archive for documents and these official documents need to be archived into your long-term document management solution so they can continue their workflow or form part of a compliant retention lifecycle.

This can be a challenge as the data captured in the DocuSign PowerForms and Envelope Templates may not sufficiently map to the index/property information used in the target document management system, which creates an integration gap. Many organizations leave documents in DocuSign, or simply download them to an internal file-share.

DocuNECT can extract data from different types and formats of documents and present them to different systems. DocuNECT can directly connect to your DocuSign repository, download the documents, extract the necessary data using business rules and then add them to your document management system.

DocuNECT can also assign index/property data from PowerForm fields, Envelope Template custom and system fields.

Central Email Inbox

Monitor a central email inbox to capture email and attachments. This method can also be used if a fax server or multi-function device is being utilized as typically these can point to a central email inbox.

Multi-Function Devices/Network Scanners

DocuNECT can also capture documents scanned on a multi-function devices or network scanner. These devices allow documents to be scanned and, in some cases, basic indexing to be applied. Typically, the interface on a multi-function device allows users to select a document type and enter an index value. This information can be capture and sent to DocuNECT.

Web Services (Business Application Integration)

More and more online services are making documents accessible via a REST API. DocuNECT has easy hooks to call REST based services within the lifecycle to bridge the gap to automate the information capture.
